Policies & Procedures

SECTION 1: Refund Policy:

1.a) There is a $50 registration fee to reserve a spot for your child for each weekly summer camp session. This is a non-refundable deposit. Weekly fees are due before the start of a new week. There are NO EXCEPTIONS to this rule. The participant’s spot will not be held if payment is not received. You will be notified of any camp cancellations one week prior to the start of a new week. No refunds will be given for missed camps days. 

1.b) CET’s  weekly summer camp roster is finalized every Friday night, at 8pm, prior to the start of a new camp week. All participant sign-ups and payments must be completed by then. If a client wishes to receive a refund, it must be initiated before the roster for the upcoming week is finalized.  There are NO EXCEPTIONS to this rule. Players on the waitlist will be notified about newly opened slots on Saturday following the completion of the CET Summer Accelerator Camp Roster. Waitlisted Clients, once notified, must sign up and complete payment by 8pm, Saturday. If by any chance, a waitlisted that has signed up, wishes to cancel it must be done by 8pm Saturday.

1.c) Infractions that violate the policies and procedures of the company, and/or that put any of the coaches or student in any harm mentally or physical, will result in a participant not being a allowed to participate in the camp. If such infractions should happen, participant will be refunded the remaining days left of his/her week.

SECTION 2: Summer Accelerator Camp:  Confirmation of Participation 

2.a) For all who will be participating in the C.E.T. Summer Accelerator Camp, there will be a text and an email sent out to all participants to confirm the week, day, or days of participation for the week the client will be participating. Each week of the C.E.T. Summer Accelerator Camp is structured by total amount of participants per week, due to CET’s outstanding promise to provide efficient and effective trainings to fulfill the motto of tremendously improving all participants skills. It would be expected that a response is given to confirm the participant’s day or days they will be attending the camp for the week, as signups are done on a weekly basis.

2.b) In the event that a client does not respond confirming the child’s/participant’s day or days of attendance, but the child does show up to camp without notification, CET will document this and notify the customer of CET’s policies and how not communicating the fact there of alters CETs program, and a warning will be issued. Due to how CET’s drills and days are intricately structured, the child will not be able to participate in camp for that day as it would drastically alter CET’s tightly structured process. The child will be allowed to sit and wait at CETs location for pick-up and a staff member will be assigned to assure the child’s safety until the parent(s) arrive.  If there is a repeated violation of this instance, CET will reserve the right to terminate services and issue a full refund to the participants.

2.c) Summer Accelerator Checklist: CET Summer Accelerator Camp Participants will Receive a  “What to Bring” checklist. It is imperative that the list be followed intrinsically as it is for the best of the camp participants. This is due to factors such as, but not limited to, outdoor temperature, nutritional needs, allergies, comfortability, performance, etc. when participants arrive to camp they will be asked by CET staff members to present the items on the checklist in order to ensure a safe, fun, efficient, and effective experience for themselves. If a participant doesn’t have the crucial items on the list, a CET staff member will reach out to the participant’s parent(s) to inform them of the missing items. Please note CET does not provide the items on the Summer Accelerator Checklist, as it is the sole responsibility of the customer. If a child should repeatedly show up to camp without the necessary checklist items to participate, CET will inform the parents of the participant on each occurrence, and the participant will sit out of camp for the day until parents arrive for pick-up. On the 3rd offense, CET reserves the right to cancel services and issue a refund for the day of participation. 

SECTION 3: Payment Policy:

3.a) All private lessons, semi-private lessons, workshops, etc. must be paid for at the completion of each session. CET will only allow 2 late payment offenses, as a courtesy of the program. On the 3rd late payment offense, CET will respectfully terminate its services. The termination of CET’s services at this point of repeated offenses will be “non-negotiable” and as a result permanent.

3.b) SUMMER CAMP PAYMENTS : All summer camp sign-ups and payments must be completed the Friday prior to the start of each  new week’s session by 8pm. Please see “SECTION 1: Refund Policy, Paragraph 1.b” for summer camp refund policies.

3.c) Accepted forms of payment are Cash, Check, Zelle, Venmo, Paypal, and  Cashapp. Upon Joining, CET Clients will receive a message with all of the Payment methods/accounts, so that they may be able to successfully make payments. 

SECTION 4: Behavioral Policy

4.a) Purpose

At Cooper Elite Tennis Corporation (C.E.T.), we are committed to providing a respectful, safe, and professional environment that supports athletic and personal growth. This Behavioral Policy outlines the expectations for conduct among students, staff, and customers (parents/guardians) and defines the infractions and consequences related to violations of our standards.

4.b) Scope

This policy applies to all participants involved with C.E.T., including but not limited to:

• Tennis students

• Coaching and administrative staff

• Parents and legal guardians of enrolled students

4.c) Student Conduct

Students of C.E.T. are expected to:

• Arrive on time and be prepared for all training sessions.

• Show respect to coaches, staff, fellow students, and property.

• Use appropriate language at all times.

• Display good sportsmanship, win or lose.

• Refrain from bullying, teasing, or disruptive behavior.

• Dress appropriately and adhere to the tennis uniform guidelines.

4.d) Staff Conduct

Staff members are required to:

• Serve as role models of professionalism, punctuality, and integrity.

• Treat all students and families with fairness and respect.

• Use positive reinforcement and constructive feedback.

• Maintain confidentiality and appropriate boundaries with students.

• Adhere to child safety and protection protocols.

• Report misconduct to leadership in a timely and accurate manner.

4.e) Customer (Parent/Guardian) Conduct

Parents and guardians are expected to:

• Support their child’s positive development without interfering with coaching.

• Refrain from coaching from the sidelines.

• Use respectful language and tone when communicating with staff or other families.

• Bring concerns directly to management, not to coaches during sessions.

• Follow drop-off, pick-up, and scheduling procedures.

5. Infractions

5.a). Minor Infractions

Examples:

• Tardiness

• Talking back or minor disrespect

• Inappropriate language (non-threatening)

• Failure to follow directions

• Showing up unprepared or without summer camp checklist items

5.c. Major Infractions

Examples:

• Bullying or harassment (verbal or physical)

• Fighting or threats of violence

• Theft or vandalism of C.E.T. property or others’ belongings

• Disrespectful or aggressive behavior by parents or staff

• Repeated failure to comply with behavioral expectations

6. Consequences

6.a) Minor Infractions

• 1st Offense: Verbal warning and documented conversation

• 2nd Offense: Parent/guardian notification and written warning

• 3rd Offense: Temporary suspension from activities (1–3 days)

6.b) Major Infractions

• Immediate removal from session

• Parent/guardian meeting with director

• Suspension (up to 1 week depending on severity)

• Possible termination of enrollment or employment

• For parents: restriction from viewing area or facility for a period
